Pinnacle Impact Studio Privacy Policy

Effective date: September 28, 2026

Pinnacle Impact Studio is a brand of Pinnacle Impact Marketing LLC ("we," "us," or "our"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have when you visit our website, call, text, or chat with us, respond to one of our ads, take part in our referral program, or use our services. Please read it carefully.

1. Who this policy covers

This policy applies to website visitors, prospective customers, customers, and referral program participants who deal with us directly.

When we provide AI call-handling, messaging, or automation services for a business client, we handle that client's customers' information as a service provider, following the client's instructions and our agreement with them. The client's own privacy policy governs that information. If you are a customer of one of our clients, please contact that business about your information.

2. Information we collect

Information you give us. Your name, business name, email address, phone number, mailing address, and anything else you choose to submit through our forms, calls, text messages, chats, or email.

Calls, texts, and chats. The content of your communications with us, including conversations with our AI phone and website chat assistants, and details such as the date, time, duration, and phone numbers involved. Calls to our AI phone line are recorded and may be transcribed. See Section 4.

Website and device data. IP address, browser type, operating system, device type, pages visited, links clicked, time on page, and the site that referred you, collected through cookies and similar technologies. See Section 6.

Purchase information. If you make a purchase, our payment processor collects and processes your payment details. We receive confirmation and basic transaction records. We do not store full payment card numbers.

Referral program information. If you refer a business to us, your name, contact details, and the payment account or handle you want your referral bonus sent to (for example, a Cash App $cashtag). If tax reporting requires it, your legal name, mailing address, and taxpayer identification number.

Information from other sources. Business contact information, such as business name, owner or manager names, business phone numbers, email addresses, website, and address, from public sources such as business listings and websites, and from commercial data providers. Information you submit through an ad or lead form on a social media platform such as Facebook. Information from a person who referred you to us.

3. How we use your information

We use the information we collect to:

•   Respond to your inquiry, and provide, operate, and improve our services

•   Contact businesses about our services, including by phone and email

•   Schedule, confirm, and remind you about appointments

•   Send service and account messages related to your inquiry or account

•   Send marketing communications where you have agreed to receive them, which you can stop at any time

•   Run our referral program and send referral bonuses

•   Process payments, keep business records, and meet tax obligations

•   Honor opt-out and do-not-call requests

•   Maintain security, prevent fraud and abuse, and troubleshoot problems

•   Comply with our legal obligations

4. AI assistants and call recording

Our phone line and our website chat are answered by AI assistants. When you call, text, or chat with us, you may be interacting with an AI rather than a person. We tell you this at the start of the conversation, and you can ask to reach a person at any time.

Calls to our AI phone line are recorded and may be transcribed for quality, training, and booking accuracy. We tell you this at the start of the call. If you do not want to be recorded, you can end the call and contact us by email instead. Calls placed by our team are not recorded unless we ask and you agree at the start of the call.

Our demonstration line lets you hear an AI receptionist in action. The assistant may ask for your name and business and answer as if it were your receptionist. We use what you share on a demonstration call only to run the demonstration and to follow up with you about our services.

Recordings, transcripts, and chat logs are processed by our telephony and AI service providers only to deliver the service. We do not sell them, and we will not use them in our marketing without your written permission.

5. Text messaging (SMS and MMS)

Consent

We send text messages only to people who have given us permission. We send service messages, such as replies to your inquiry, appointment scheduling, confirmations, and reminders, when you text us first, ask us to text you, or check a consent box on one of our forms. We send marketing text messages only if you have given us your written consent, for example by checking a consent box that names us. Consent to receive text messages is never a condition of purchase. We do not send marketing text messages to phone numbers we obtained from business listings, data providers, or anyone other than you.

What we send

Replies to your inquiry; appointment scheduling, confirmations, and reminders; account, service, and maintenance notifications; customer support messages; and, if you have separately agreed to marketing messages, occasional promotional messages.

Frequency and cost

Message frequency varies based on your activity and preferences. Message and data rates may apply, as determined by your wireless carrier. Carriers are not liable for delayed or undelivered messages.

How to stop

Reply STOP to any message to opt out at any time. Reply HELP for help, or contact us using the details in Section 12. After you reply STOP, we will send one confirmation message and then stop. We keep your number on an internal do-not-text list so that we do not text you again; that record exists only to honor your opt-out.

Sharing of mobile information

NO mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who provide support services, such as customer service and message delivery, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. Cookies, analytics, and advertising

We use cookies and similar technologies to operate our website and chat, remember your preferences, and understand how the site is used. We may also use analytics and advertising tools, such as Google Analytics and Meta (Facebook), which use cookies or similar technologies to measure site traffic and how well our ads perform.

You can control or delete cookies through your browser settings, and Google offers a browser add-on that opts you out of Google Analytics. Some features of the site may not work correctly if you disable cookies. We do not currently respond to browser "Do Not Track" signals, because no common standard for them has been adopted.

7. How we share information

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes. We share information only in these circumstances:

•   Service providers. Companies that help us operate: our CRM and automation platform, telephony and messaging providers, AI providers, payment processors, the payment apps we use to send referral bonuses, email and calendar tools, website analytics and advertising tools, and business software that helps us run our operations. Each receives only what it needs to provide its service.

•   Referral confirmations. If someone referred you to us, we may tell them that you became a client and whether their referral bonus was earned. We do not share your account details, payments, or communications with them.

•   Legal and safety. When required by law, or in response to a subpoena, court order, or other legal process, or to protect the rights, property, or safety of our customers, the public, or us.

•   Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

•   At your direction. When you ask us to share it, or otherwise consent.

8. How long we keep information

We keep information for as long as we need it to provide our services, meet our legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When we no longer need it, we delete it or remove the details that identify you. Opt-out and do-not-call records are an exception: we keep them for as long as we need them to keep honoring your request.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including access controls on the systems we use and encrypted connections for information in transit. The service providers we rely on maintain their own security programs. No method of transmission over the internet or of electronic storage is completely secure, so we cannot guarantee absolute security.

10. Your choices and rights

You can, at any time:

•   Opt out of marketing emails using the unsubscribe link in any message

•   Opt out of text messages by replying STOP

•   Ask us to stop calling you; we keep an internal do-not-call list

•   Request access to, correction of, or deletion of the personal information we hold about you

•   Object to, or ask us to restrict, certain uses of your information

•   Withdraw consent where consent is the basis on which we use your information

Depending on where you live, you may have additional rights under state privacy law. To make a request, contact us using the details in Section 12. We may need to verify your identity before we act, and we will respond within the time required by applicable law. We will not discriminate against you for exercising these rights.

11. Children's privacy

Our website and services are intended for businesses and adults. They are not directed to children under 16, and we do not knowingly collect personal information from them. If we learn that we have collected information from a child under 16, we will delete it. If you believe a child has given us information, contact us using the details in Section 12.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and change the effective date above. If we make a material change that affects our messaging program or how we use your information, we will also notify you by email, by a notice on our website, or by text message if you have opted in to texts.
